REFUND POLICY
This Refund Policy is designed to be fair and transparent while supporting the sustainability of our education and research mission. Please read this policy carefully before making a payment for memberships, events, workshops, courses, or digital resources.
By completing a payment on our platform, you agree to this Refund Policy.
1. General Policy
Fees collected support operational costs and educational initiatives.
Most payments are non-refundable unless specifically stated below.
Where exceptions apply, refunds are assessed case-by-case and may require verification.
2. Membership Fees (ICAIM)
ICAIM membership fees are non-refundable once payment is successfully processed, except in the following cases:
Eligible refund scenarios
Duplicate payment made for the same membership
Incorrect category selection / ineligibility, notified within 7 calendar days of payment (e.g., paid wrong membership category)
Technical failure on our end that prevents access/activation and is not resolved within a reasonable time
Request timeline
Email us within 7 calendar days of payment.
Processing timeline
If approved, refunds are initiated within 15 business days (bank/payment gateway timelines may vary).
Deductions
Refunds may be subject to deduction of payment gateway / convenience fees if these were charged to or borne by us and are non-recoverable.
3. Events, Workshops, Conferences (Online/Offline)
Refund eligibility depends on the event type and timelines stated on the registration page. Unless stated otherwise:
Cancellation by participant
≥ 30 days before the event: eligible for full or partial refund (after deducting non-recoverable gateway charges, if applicable)
< 30 days before the event: generally non-refundable
No-shows:non-refundable
Emergency exceptions
Refund requests due to medical or serious personal emergencies may be considered at our discretion. Supporting documentation may be requested.
Transfers / substitutions
Where feasible, we may offer:
transfer to another eligible participant, or
- credit/adjustment toward a future DoctorsAI/ICAIM event(Subject to event rules and seat availability.)
4. Courses / Cohorts / Certification Programs
For structured programs (e.g., cohort-based certificate courses), the specific refund terms will be listed on the registration page and/or admission confirmation email. Unless specified otherwise:
If access is granted and onboarding begins (e.g., LMS access, materials shared, sessions commenced), fees may be non-refundable.
Any approved refunds may be pro-rated and may exclude administrative or non-recoverable platform charges.
5. Digital Resources, Downloads, Recordings
Because digital content becomes accessible immediately:
Non-refundable once access is granted, download link is issued, or recording access is shared.
Exceptions
Duplicate purchase of the same product/resource
Technical failure making the resource inaccessible and not resolved within 72 hours after you notify us
6. How to Request a Refund
Include:
Full name
Registered email/phone
Transaction ID / payment reference
Date of payment and amount
Program/event name
Reason for request + any supporting documents (if applicable)
7. Chargebacks / Payment Disputes
delay resolution, and/or
result in account restrictions, membership suspension, or denial of future access, where appropriate and lawful.
8. Policy Changes
We may update this Refund Policy from time to time. Updates will be posted on this page with a revised effective date. Continued use of the website/services implies acceptance of the updated policy.
